A7 #CollabTalk User adoption rates, downtime, and tickets/issues are important, but, ultimately, it's about business outcome alignment. Evaluate whether the migration achieved its intended business goals (e.g., faster collaboration, cost savings, security improved).

Q7: What key metrics should organizations track to determine whether their migration was successful, both technically and from a user adoption perspective? #CollabTalk

A6 #CollabTalk You CANNOT over-communicate. Effective communication is CRITICAL, especially for user adoption. Provide clear timelines, expectations, and resources before, during, and after the migration to reduce anxiety and confusion.

A6 #CollabTalk Employ a phased migration approach. Most experts have attempted the over-the-weekend, all-at-once migration and they are problematic, at best. Learn from our mistakes. Migrate data in waves, focusing on low-risk departments first to build confidence.

A6 #CollabTalk Pilot Programs. Pilot pilot pilot. Run pilots with select teams to gather feedback and adjust processes before a full rollout.

A5: Senior management team, Marketing and Internal comms to support communication. Human Resources because they have so much content that is used by other parts of the business. Departments with Core Business Process ownership #CollabTalk

A5: Beyond IT, you need to involve the content owners in a migration and the change management (training & comms) team(s). Change needs commitment, an CM for both internal and external people to plan, map, train, and support throughout is essential to avoid confusion and blowback. #CollabTalk

A5 #CollabTalk Another oft forgotten strategy is to work closely with your Change Management & Training leads. They can help develop user training and comms plans to support adoption. I just talked about this - in detail - on last week's #CollabTalk Podcast, if you're interested:

A5 #CollabTalk Don't forget to talk to your Compliance & Legal teams to ensure data handling complies with industry regulations and internal policies.

A5 #CollabTalk Start with your department leads. They'll provide insight into critical business processes and data needs to ensure business continuity post-migration.

Q5: Beyond IT, which business stakeholders should be involved in a migration project, and what role should they play? #CollabTalk

A4 #CollabTalk For large data volumes or when WAN links are limited, specialized solutions are often required. Most of the folks participating on this tweetjam have relationships with all of the major migration vendors.

A3 #CollabTalk Even a small migration can be complex. Don't underestimate your migration - they can be more complex than expected. Pilot migrations help identify unforeseen issues early. Iterate, iterate, iterate on your plans.

A2 #CollabTalk If significant gaps exist in user training, infrastructure, or stakeholder buy-in, these must be addressed before migrating.

A1 #CollabTalk An access & permissions review is also critical. Analyze current permissions and sharing configurations to ensure a secure and organized structure post-migration.

A1 #CollabTalk Identify where data resides, how it’s being used, and what’s redundant, obsolete, or trivial (ROT). Clean up unnecessary data to streamline the migration.
